Paid ads, run by us

Five clients is a small, specific number. Ads are the fastest honest way to reach exactly five people who want what you do and can pay for it.

  • Targeting sharpened with our non-identifiable data set of roughly one million verified LGBTQ consumers, since Meta removed direct LGBTQ targeting in 2018
  • A reactivation campaign to the past inquiries sitting archived in your EHR, which is the cheapest lead source you own
  • Every inquiry tracked to its source, so you can see whether the collective, the ads, or your own site brought someone in
  • A monthly report in plain English, and a monthly call to read it together

Ad spend is paid to the platforms directly and is separate from this fee. We recommend a minimum ad spend of $500 per month.

Optimize Consultation form

Consultation booking goes live inside your EHR, with the website linking to it rather than collecting anything itself. Inquiries land in one place you check, instead of arriving through a form you have to remember to look at. Nothing goes live until you have seen how it handles privacy.

Weeks 2 and 3

Rebuild the site

New pages, your brand, your words tightened rather than replaced. Fees, states, superbills, and out-of-network benefits stated plainly, because the people who can pay privately are the ones who read that section and decide. You approve every page before it publishes.

Create your reactivation campaign

Past inquiries are archived in your EHR. Most of them went quiet because the timing was wrong, not because the fit was. One careful message to that list, sent compliantly, is the least expensive client you will get all year.

Launch your ad campaigns

Small budget, three states, aimed at LGBTQ+ adults looking for an affirming psychologist and at people searching for gender-affirming letters. We measure consultations booked, not clicks. Five is the number, so we stop widening the moment it is met.

Build the waitlist for added security

Once the five are filled we do not switch the tap off, we point it at a waitlist. About half your caseload is expected to drop when the move makes insurance billing impossible, and a waitlist built in October is what stands between that and a quiet January.

The Part You Asked About Twice

Marketing a practice without touching a record.

You took the booking tool down rather than risk it, and you were right to. The answer is not to accept a broken front door, it is to keep the clinical system and the marketing system in separate rooms. Here is how each piece works.

Where does a booking actually happen?

Inside your EHR, on its own scheduling page. Your website links to it. That way the website never receives, stores, or transmits health information, which is what made the old booking tool a risk in the first place.

What about people who are not clients yet?

A prospective client is not a patient, and a name plus an email is not a medical record. We set up a normal marketing email tool for that list, kept strictly separate from Hushmail and your EHR, so clinical communication never mixes with marketing. Nothing clinical ever enters it.

Do the ad platforms see anything about who inquires?

No. Campaigns point at your site, tracking is configured to exclude anything identifiable, and we do not install audience pixels on pages where someone might describe why they are reaching out. Health advertising has specific rules and we build to them.

Who signs off?

You do, on everything, before it publishes or sends. If a setup makes you uneasy, we do not use it. We will also put the whole configuration in writing so your own compliance review has something to read.

The violet is the lavender from your logo, taken down until text can sit on it. The blue is the one already behind your homepage. The only genuinely new color is the warm one, and a brand called Radiant should own a little light.

Where it goes

The site

Violet and plum on a lavender ground, with the aqua kept for the calmer sections. The stock hot pink goes, because it belongs to a Squarespace template and not to you.

The letters

A proper letterhead for gender-affirming letters of support. It goes to surgeons and insurers, and it should look like it came from a psychologist's practice.

The intake

The booking and consultation pages carry the same mark and type as the site, so nobody wonders whether they have been handed off to a stranger mid-way.

The ads

One mark, one violet, at 40 pixels tall in a feed. This is the size the current badge cannot survive, and the reason to simplify it.
